Orion Events – Stallholder Terms & Conditions
Effective From: 11th January 2026
By booking a space at our events, you agree to the following terms and conditions:
1. Booking & Pricing
- Spaces must be paid in full no later than twelve (12) weeks before the event date.
- A payment reminder email will be sent before this deadline.
- After the payment deadline, we cannot guarantee your space.
- Cash payments on the day of the event will not be accepted.
Table Prices:
One 6ft x 4ft pitch (pricing varies by venue):
- Dereham Memorial Hall – £35 in Main Hall (table provided) / £25 in Corridor (own table required)
- The Forum, Norwich – £45 (table provided)
- The Undercroft, Norwich – £15 (own table required)
- Munford Village Hall – £25 (own table required)
Optional Add-On – Extra Table/Space:
Additional 6ft table or space may be available for an extra fee:
- Dereham – £25 (Main Hall), £15 (Corridor/Foyer)
- The Forum – £35
- The Undercroft – £5
- Munford Village Hall – £15
2. Allocation of Spaces
- A maximum number of readers/mediums will be accepted per event, on a first-come, first-paid basis.
- The number accepted will vary by venue size.
- All extra space is subject to availability and must be requested on your booking form.
3. Provisional Bookings & Compliance Requirement
- All stallholders must have a completed and approved Orion Events Stallholder Compliance Form on file.
- Booking forms may be submitted before compliance approval; however:
- All bookings remain provisional until compliance has been reviewed and approved.
- Orion Events reserves the right to cancel or refuse a booking where compliance requirements are not met.
- Submission of a booking form does not override compliance requirements.

4. Payment Details
Payment instructions will be sent by email once your booking form has been received.
Please do not send payment until you have received confirmation and the correct payment details for the event(s) you are attending.
Orion Events may collaborate with trusted organisers to assist with administration at certain venues. Where applicable, payment may be directed to an agreed collaborator.
5. Cancellations & Refunds
- All stallholder payments are non-refundable and non-transferable, except as outlined below or where Orion Events cancels the event.
- If Orion Events cancels the event, stallholder payments will be refunded or transferred where appropriate.
- Cancellation or transfer requests from stallholders must be made in writing.
- Refunds or event transfers may be requested more than twelve (12) weeks prior to the event date.
- No refunds or transfers will be issued for cancellations made within twelve (12) weeks of the event date.
6. Insurance Requirements
- Stallholders must hold valid Public Liability Insurance covering market trader/stallholder activities.
- If relevant to your business, you must also have appropriate cover for:
- Healing therapies
- Card readings
- Handmade beauty/cosmetic products
- Attendance will not be permitted without this insurance.
- Payments made before providing proof of insurance will not be refunded or transferred if you cannot meet this requirement.
7. Optional Prize Donation – Spin to Win
We run a Spin to Win prize draw at each event to raise funds for Orion’s Embrace CIC, helping us provide accessible wellness and healing services to those who need them most.
If you’re able to donate a small prize (a product, voucher, or taster session), it would be hugely appreciated. Please include a business card or tag so we can credit your donation and give your business a shout-out.
All money raised from the Spin to Win goes directly to supporting community healing through Orion’s Embrace CIC.
8. Liability
- Orion Events accept no responsibility for any loss, theft, or damage to stock, equipment, or personal belongings.
- Stallholders are responsible for their own goods at all times.
9. Health & Safety
- Orion Events will take reasonable precautions to ensure the Health & Safety of everyone present.
- Stallholders must:
- Remove any obstacles that could cause tripping or falling
- Ensure all equipment and goods are securely positioned
- Follow all venue safety rules and instructions from event staff
10. Event Timings
Dereham Memorial Hall
- Set-up: from 8:30am Public Opening Hours: 10:00am to 3:00pm
The Forum, Norwich
- Set-Up: from 7:30am Public Opening Hours: 9:00am to 5:00pm
The Undercroft, Norwich
- Set-up: from 8:00am Public Opening Hours: 10:00am to 4:00pm
Munford Village Hall
Set-up: from 9:30am Public Opening Hours: 10:30am to 4:00pm
Stallholders must not pack down early, WITHOUT consent from the events team. Anyone doing so may be refused future bookings, and no refund will be given.
11. Rubbish Removal
- All rubbish must be removed and disposed of off-site.
12. Event Promotion
- Orion Events promotes each event extensively through advertising and social media.
- Stallholders are expected to share the event and promotional images with their own customers/followers to maximise attendance.
13. Agreement
- By submitting your booking form, you confirm that you have read, understood, and agree to these terms and conditions.
